Role Title: Records Management Intern
Organisation: Girl Guides WA
Internship Period: Semester 1 (February - May)
Location: Belmont
The intern will be working at our state office - colloquially referred to as Guide House - in Belmont. We have a paid staff of 8 in the office plus several volunteer management and governance personnel who maintain working space in the building.
With recent changes in staff and an update of our database we have been working on our electronic records management and a major part of this is dealing with the significant quantity of hard copy records stored at our offices. Some have historical value and need to be archived by the relevant volunteer committee. Others need to be catalogued and scanned so they can be accessed electronically in future. Some hard copies will need to be boxed for transport to a safe storage facility.
It is envisaged that the project will involve an initial assessment of the scope of the task followed by the development of a project plan. This should include creating a cataloguing system for the ongoing storage of the materials, with associated sorting criteria, and then beginning the process of filing the material appropriately. Given the scale of the project it may not be possible to completely sort all the documents but it would be desirable that the established system can be managed by someone else into the future.
The intern will work under the supervision of the Executive Officer.
